Family knowledge bases: teach Grace your household, and let it show its work

Upload the documents that run your home, keep sensitive ones separate, and get answers that cite the exact page.

A general AI assistant does not know your household. It does not know which school handbook covers this year, what the vet said about the dog, or which appliance manual explains that blinking light. A family knowledge base is how you give Grace that context, in documents you choose, with answers that show exactly where they came from.

Grace does not memorise your household from chatting with you. It searches the documents you put in a knowledge base and quotes them. That distinction matters: what Grace knows is what your family has chosen to share with it, and you can see the source for yourself.

Start with the documents you keep reaching for

Under Knowledge controls, open Knowledge bases. Parents can create a shared family knowledge base, and adults can also create a private one. Give each one a clear name, such as School forms, Recipes, or House manuals, so it is obvious what belongs where.

Upload the files that answer questions your family asks over and over: school handbooks and calendars, recipes, appliance manuals, vet records, trip bookings. Grace reads each file and gets it ready; larger files take a little longer. By default a family can store up to 5 GB across 2,000 documents, which is plenty of room for the paperwork of a household, but it is still worth naming files clearly. Grace shows the file name in its sources, so “2026-school-handbook” helps everyone more than “scan-003”.

Ask, then check the source

Start a chat and choose the knowledge base to ask from. The answer draws on your documents and shows numbered sources. Select a source to open the exact document it came from, instead of taking the answer's word for it.

That is the habit worth building with children, too. An answer is not finished when it sounds right; it is finished when you can open the page it came from and see it for yourself.

Add good answers back in

A useful answer does not have to stay in one chat. On a chat response, or on one of your own notes, choose Add to knowledge base and pick the destination. You can copy a whole notes section the same way, and the picker shows only the knowledge bases you can write to, including a project's own knowledge base for projects you can edit.

Copies from notes are snapshots. Later edits to the original note do not change the saved document, so add a new copy when something changes and remove the outdated one. Children can write personal notes, but they cannot add content to a knowledge base, so what goes into the family's shared knowledge stays a grown-up decision.

Who sees what

Not every document is for every member. Use Access groups in Parent tools to control which members can use which knowledge bases, and keep sensitive documents in their own knowledge base so access is easy to control. A private knowledge base stays private to the adult who made it, and a project's knowledge follows that project's permissions, as described in our post on Family Projects.

When you do not want to upload anything

Knowledge packs are ready-made collections curated by Grace that you can attach to your family without uploading a single file. Browse them from Parent tools and add the ones that fit your household, alongside the knowledge bases you build yourself.

Getting started

Open Knowledge controls, choose Knowledge bases, and make your first one from the documents you already reach for most. Our tutorial, Build a family knowledge base, walks through each screen.
